Abstract
There are over 160 Registered Student Organizations (RSOs) at SCU as of 2023 [6]. There is currently no centralized system that RSO treasurers use to track and manage club finances. As a result, many organizations rely on fragmented methods such as spreadsheets, shared documents, email chains, and manual record keeping to manage budgets, reimbursements, and financial reports. These disconnected systems often lead to inconsistent organization, communication difficulties, and challenges during leadership transitions between club officers. This project proposes the development of a web-based Club Finance Management Application, Kaikei, designed specifically for Santa Clara University student organizations. The application centralizes financial management by allowing club members and treasurers to log expenses, upload receipts, track reimbursements, manage budgets, and generate downloadable financial reports within a single platform. The system also supports role-based access control to differentiate permissions between general members, board members, and treasurers. The application was designed with compatibility, accessibility, and usability as key priorities. The platform is accessible through both desktop and mobile devices and is intended to integrate smoothly with existing SCU organizational processes. By providing a standardized and centralized financial management solution, this project aims to improve transparency, organization, and continuity across student organizations while reducing administrative burden for club officers.
