Abstract
College campuses rely heavily on email communication for event advertisement. However, due to the sheer number of emails any student may receive, the individual effectiveness of each advertisement decreases. A better alternative for event promotion was needed. How could we introduce students to events they would not usually find on their own, without continuing to fill up their email inbox? And how would information on all of those events be collected and maintained without requiring organizations to jump through extra hoops? Our project, BroncosGo, solves this issue by maintaining a database of campus events which is populated with information provided by newsletters sent out by student organizations, where the information is then extracted and verified through the combined efforts of AI screening (used for efficiency) and human moderation (to ensure reliability and attention to detail). This results in the curation of a database that is populated with accurate and relevant entries about events happening on campus during a given time, which can then be used in combination with various other implementations in order to create an event viewing portal for students that is easily accessible and also easily searchable and sortable.
In this paper, we outline the need for more accessible and digestible information on campus events. We then present our solution, as referenced above, and discuss our implementation and the steps that led us to that end. As a result, we have built a streamlined tool for the internal-facing process of moderating event submissions. We laid the groundwork for this database to be used in the future, ideally through a student-facing portal, where students can search for events based on several features, and then refine those searches with qualifying filters to get more relevant results. We present additional recommendations for how developers in the future should work with our database, and we provide our ideal next steps for the maintenance and automation of the process. In conclusion, by obtaining publicly available event information through club newsletters, and validating that information via two levels of screening (AI screening for speed, and human screening for quality assurance), we were able to create a database that minimizes the effort expended by organizations to qualify for the service, while also assuring that the database itself is of a high enough caliber where organizations would be drawn to use BroncosGo as an advertising service. This database is easily maintained through volunteer efforts, and is scalable enough where it could be used as a centralized collection of events hosted by any and all organizations, and could be maintained well into the future.
